Illness, a death or another serious event may make a holiday impossible. Nevertheless, compensation does not follow solely from the severity of your situation. Travel insurance does not automatically include cancellation cover and the policy may impose specific conditions concerning the reason, people involved and when the event became known. You may also have rights against the travel provider. This guide helps distinguish the two routes and build a verifiable file. For a medical emergency, first obtain appropriate help; financial handling can then be organised specifically.

1. Identify precisely what you want to cancel
Compare the booking confirmation with the terms: is it a package holiday, separate flight, accommodation or several independent reservations? For each element, record your contracting party and amounts already paid. The party receiving the money is not necessarily the organiser or insurer. Several agreements may coexist with an intermediary platform. Naming contracts separately prevents one cancellation message being wrongly treated as ending the entire holiday.
Ask the provider in writing about cancellation options, costs at that time and possible alternatives. A date or traveller change may sometimes limit loss but has its own conditions and costs. Also include refund requests for separate components in your overview. Do not choose solely based on a verbal assurance that insurance will pay. Keep any offered rebooking with its restrictions so you can discuss it with the insurer.
2. Check whether cancellation is actually insured
Find the policy schedule, terms version, commencement date and any supplementary module. Insurance for baggage or medical assistance during travel differs from reimbursement because you do not depart. Also check who qualifies as insured and what amount is available per person, trip or insurance year. If only one partner is on a single-person policy, the other is not automatically insured for the same cancellation costs. If in doubt, request confirmation for each traveller.
Continuous cover may have rules for trips booked before insurance was taken out. Short-term cover may also have its own deadline for taking it out. No useful general promise can be made that later addition is always possible. For example, Nationale-Nederlanden specifies a maximum interval between booking and taking out a particular online cancellation module; different terms may apply through an adviser. Use such a product rule only as an example and investigate your own contract and acceptance confirmation.
3. Connect the actual reason with the policy definition
Describe what happened, when it became known and why departure is thereby impossible or not reasonably practicable. Then find the corresponding insured event. A list of covered events may be exhaustive: a similar sense of necessity is then insufficient. Terms such as serious illness, close relative, unexpected dismissal or relationship breakdown may have special definitions. Include the relevant passage in your claim and explain which facts meet each element.
Do not confuse the trigger with the actual cancellation reason. In Kifid practice, for example, why a necessary travelling companion is not going may be decisive even where you have health problems yourself. That companion obtaining a new home is not automatically the same event as allocation of a rental home. This example gives no universal outcome for other policies. It primarily shows that the chosen wording must match the actual circumstances and insurance text.
4. Record the chronology and any foreseeability
Make a chronology of taking out insurance, booking, first indications, diagnosis or other decisive message and eventual cancellation. Add confirmations and dated correspondence. If an event was already expected when booking or insuring, this may be relevant under the terms. However, an existing condition and foreseeable cancellation are not identical concepts. Ask precisely which time and information the insurer says justify rejection before responding to that conclusion.
Do not let the chronology suggest a medical conclusion you cannot substantiate. For example, record when an appointment took place and what travel advice was given without supplying a prognosis yourself. For a relative already ill, earlier information and unexpected deterioration may both matter. Describe changes specifically. For requests for health information, discuss the secure channel and limited data needed for this claim rather than circulating complete medical records indiscriminately.
5. Report promptly and demonstrably limit costs
Contact the insurer and travel provider as soon as possible after the event. Ask which reporting and cancellation deadlines apply and whether prior consent is required. Waiting for a final coverage answer may increase cancellation costs. Therefore record which decision must be taken when and the instructions received. If your ability to travel is uncertain, ask the provider for the next cost threshold and discuss it immediately with the claims handler. Keep an email confirming the conversation.
Request an itemised cancellation invoice and evidence of any refunds. Distinguish the trip price paid, cancellation costs owed, refunded taxes and other refunds. Do not silently deduct receipts from another item; present a traceable calculation. Where several insurers or bookings are involved, state which costs were reported elsewhere. The aim is compensation for the insured loss; the same damage must not be included twice in final compensation.
6. Also investigate your entitlement against the travel provider
If the provider cannot perform or serious circumstances affect a package holiday, separately investigate travel-law entitlements. For a package holiday, unavoidable and extraordinary circumstances significantly affecting performance may justify termination without charge. Travel advice may be relevant evidence but does not automatically decide your insurer’s cover. ACM ConsuWijzer therefore distinguishes cancellation of a package holiday from cancellation of a separate ticket or stay.
Ask the provider what amount it refunds and on what ground it deducts costs. Send that position to your insurer. Any reliance on the Calamiteitenfonds or a guarantee scheme has its own conditions; do not treat it as a general replacement for cancellation cover. Also do not accept being referred back and forth without explanation. Ask each party which specific contractual obligation it is investigating and which documents remain missing. This reveals whether the dispute concerns refunds, cover or both.
7. Check the calculation and respond to rejection
Compare an offered payment with the cancellation invoice, insured maximum and any deductibles. For a trip cut short, calculation may differ from cancellation before departure. Costs of travelling companions staying behind are also not automatically all covered. Ask which provision applies per traveller and cost item. A fictional example: three friends book together but only one has a covered cancellation reason. Investigate the conditions for the other two separately.
If rejected, request a written explanation with the exact policy passage and facts supporting the position. Respond specifically to, for example, absence of an insured reason, chronology or loss amount. If needed, file an internal complaint and then investigate whether Kifid or court proceedings apply. Preserve procedural deadlines and obtain legal advice for a substantial financial interest or overlapping disputes. A careful file improves assessability but does not guarantee payment.
Frequently asked questions
Is cancellation standard in my travel insurance?
You cannot assume so. Check whether the module was taken out, which travellers are insured and which conditions apply to the booked trip.
Can I still take out cancellation cover after illness?
New insurance is no general solution for an already known cancellation reason. Acceptance, commencement date, uncertainty and terms are decisive.
Must I wait for the insurer’s answer first?
Prevent costs increasing while waiting. Immediately discuss the cancellation deadline with provider and insurer and record instructions.
